Question for the active coordinators:
As you can all see, we started this post 5 weeks ago. Since then we've requested all 100+ coordinator volunteers to please come and post here to say hello. As you can also see, only a fraction of them actually have.
So my question to all of you is: Any ideas of what we can do to get people who are willing to step up and say they want to volunteer to do something like run a chapter, to actually follow through on something that takes a few seconds to do? Obviously running a chapter can be time consuming for some who really get into it, or it can be a simple and low maintenance thing for those who don't have active meetings and simply act as our rep in the city. But if we can't get these folks to do 1 tangible thing like post a hello on this message board, how can we really move forward and grow the program? I am sincerely open for ideas?

Hi Brian! The only thing that I can think of off the top of my head is for the active coordinators to reach out to them personally and encourage them with a heads up. That is something that is easily done. Perhaps start a buddy system ?
I will try and think of more things this evening. Being a JPF volunteer has enriched my life and it's worth every minute I've spent.

The only thing you can really do is make it clear to coordinators through direct communication that you have an expectation that they read and contribute to the message boards regularly. Boards are an indirect form of communication, in that you can't really assume that everyone is even aware of this post, especially if they're not active on the boards. Sometimes you have to explicitly state the obvious, i.e. if you're a coordinator, you need to be actively involved in the JPFolks community, which includes checking the boards.
I would recommend sending an email (direct communication) to all would-be coordinators, clearly outlining your expectations, and requiring a direct reply to that email. Obviously if you fail to get replies at that point, you can feel certain that you've done all you can do and start looking for new coordinator candidates to cover those areas.

Your points are valid. The problem is that we've done exactly that. You are literally the newest coordinator on that list, but prior to you joining up, we've sent multiple requests directly to the volunteers, in some cases 3-4 in a row with the message "2nd request... 3rd request... 4th request... " in the header.
This has been an ongoing problem really for several years. I make no claims that it isn't a fault on my end, but I have tried multiple approaches and none have worked. We have a core of coordinators that have "gotten" it and with various levels of support or help from us, they've taken the ball and run with it. But in most other cases, it seems folks sign up and volunteer but have no actual intent on doing anything, except perhaps being able to claim they are a coordinator to further their own agendas in music. It's very odd.
I'll be sending yet another note out in the next week hopefully on these topics, but since the folks who have followed through and are posting here are among the most motivated, I thought I would see if someone had a new approach that might work. As a volunteer group, I don't have unreasonably high expectations at all.. but if we can't even get a reply to an email or a post saying hello.. it doesn't really give us much of a chance to build a thriving local community in some of these cities right?

Hey, Brian. My trip got cut short, so here I am!
In answer to your latest post, and to attempt to cut to the heart of the matter, it seems to me that the real problem isn't trying to get certain coordinators in hiding to actually make an effort to answer their emails and check the boards. Rather the real issue is how to get solid, dependable, fired-up coordinators in the first place, so that the other problem takes care of itself.
In an area where there is already a somewhat functioning chapter, you should probably just petition the chapter members to elect a new coordinator. However if the issue is with coordinators of chapter start-ups (as I'm sure it usually is), then there may come a time for some chapters when "if you want something done right, you have to do it yourself".
To explain, if you have a list of potential members from the Survey or other sources, but you can't get a dependable coordinator to get things moving, then you may have to arrange the first meeting, defining the agenda to include the selection of a chapter coordinator. Send out the invitiations, arrange a meeting place, etc. I know that stinks of micromanagement and makes it a lot more difficult to get a chapter rolling, but it may be necessary.
You may find that some of the existing coordinators would be willing to chair those first meetings in cities within driving distance, or at least help with some of the legwork. For instance, I can see on the Chapters page that Portland (OR) is still open. Obviously I'll be busy getting things rolling in Seattle over the next few months, but if you have a list of 20 or 30 folks in Portland just hanging out waiting for a coordinator, there's no reason I couldn't help out with getting that first meeting set up so that the Portland folks could choose a coordinator from among those who showed up. Obviously this is just an example, as I have no idea if this is the case with Portland, but hopefully it makes the point. I'm sure other coordinators who would like to see this organization grow would be willing to help in similar ways. It will benefit all of us in the long run to have Chapters in as many cities as possible.

You have valid points, and I know it must be frustrating from your end to try and get things jelled for new chapters. I will tell you my problem here.
Basically, I have never done anything like this before. I have no idea where to start. Also kinda shy trying to talk to folks I don't know. I was hoping when I came to Dickson to get to meet Terri Lynn and get some input from her. I have a lot of ideas, but not much luck yet in implementing them. I am a full time employed wife and mother of two, and unfortunately for me, my time is limited on this.
I think maybe a layout of how to start would be a good thing. How to recruit new members, get press, locations for showcases, etc. So much to do. I went to another organization I belong to and started trying to recruit members to JPF from there.
I have sent emails directly to you, Brian, and I know you get TONS of email, but I haven't received a reply. Maybe a different email address for us to contact you might be in order.
Although I am not real active on the board, I am actively involved in trying to start a chapter here (talking up JPF) and hope to have a tangible group and meetings before the end of this year.

If I missed an email asking a direct question, I apologize. Usually I answer every email I can, but with 200-1000 per day year round to deal with, I don't always respond to emails that don't have specific requests for a response.
But really that just proves the need for communication to occur on the message boards, since folks can learn from the info exchanged.
As for guidelines, Penni from LA has posted some start up guidelines on here and her and Wayne (Twin Cities) have regularly offered to answer any questions anyone has.
I still think using this message board to communicate will help everyone. If we could get all the volunteers here a couple of minutes a day, I think a lot of good things would happen for everyone. So how do we convince folks that commuication is important? It's so obvious to me, but seems lost on many others.

Your ideas are sound, but the point of having a chapter system it to get away from me micro managing every aspect of the group. The whole concept is to use local folks to expand what 1 human (me) can do in a given day. I already read and respond to emails 4-6 hours a day, listen to music 12-18 hours a day, make 2 hours of phone calls a day, and multi task 2-3 others things while all of this is going on simultaneously. With Roadtrip season coming up, all this stuff still needs to be done (except music listening, which is why I am working so hard to get through it all before hitting the road) plus all the travel, nightly events, workshops, meetings, drive time, load times and so on.
I understand everyone has their own busy lives, so we try to make things are low pressure as possible. We'd probably move forward faster if we cracked down and ran this chapter program like a business, but when dealing with volunteers, it seems silly and over the top to go that way. I continue to hope to find folks who will enjoy the process/experience and who are in tune with all the positive benefits an active chapter in their town will bring not only to their peers but to themselves.
I think a buddy system of volunteers is one idea that might work in some cases. I know the folks in Western MA are working on that approach already. Seattle isn't too far from Vancouver and Portland, but other chapters are hours and hours from the closest functioning chapter. Not sure of the solution for them.

I have issued a request to all chapter coordinators via the message boards for input as to how they conduct their meetings and what steps they went throught to assemble their chapters. This data would eventually be sifted through with the intent of offering chapter start up guidelines/suggestions. I had three coordinators reply. Not exactly the numbers I was looking for, and not the stuff statistics can be based on. And two of the three folks that responded are the "ole reliables." If we truly want this group to work locally, we have to - as coordinators - do better than this.

Hello All!
I will be co-coordinating the Northampton, MA chapter with Guy-Michael Grande. I'm embarrassed to admit that I am still very new to the JPF boards even though I've been a member for over a year. It's hard to sift through every forum looking for new messages and I'm quite sure there's an easier way that I just haven't discovered yet. So this post comes very late.....but not because I'm unmotivated. Perhaps this is the case for others as well?

Lisa,
Your computer should flag the new posts with bright yellow indicators each time you visit. But if you are pressed for time, just come HERE. The chapter volunteer board and look around for a minute at the new posts. If you just do that one thing, we'll have a way to communicate and share info with you. Now we just need to get the other 150 volunteers to do the same.. = )

Thanks Brian! The message board system is awesome and overwhelming at the same time. I'll be more diligent about checking in under the Chapter Volunteer Board to stay more in the loop on things.

Bill, a lot of people view E-mail like the Sunday paper. It will sit where it is until it's read. ( I love E-mail and I check it all the time, but I have no life so there you go.)
It might be helpful to put the Chapter Volunteer forum in a more prominent place on the first page so people remember to click on that first. But again the website is like the E-mail. It's there until you read it.
I still think that just placing a topic post in the forum entitled "Beginning tips for new chapter coordinators would be helpful. Write what you think is helpful. The others will read it and say, yeah that's what I do too and maybe add a little something. After you get enough replies then you can create the guidelines. Not everyone has the time to write about the topic at length and then again not everyone is a "writer" so describing what they do doesn't come easily.
If at least some of us post our agendas and abbreviated minutes, the new coordinator will get some ideas to try.
Anyway, sometimes you can't even lead a horse to water, much less get him to drink.

Didn't see your other thread until after I read this one. Definitely some good ideas and information there. I think its going to be particularly important to collate the do's and don't for chapter/coordinator activities in one easy to find location as the network of chapters evolves. Brian can't be everywhere (unless his other project is cloning!)
Many of us haven't done anything much yet so posting what we've accomplished doesn't seem to make sense in response to some of the requests that have been made.

You know my brother Lewis was just asking me last night if I wanted him to freeze me like Ted Williams so I could be cloned at a later date to continue my work in the centuries ahead by cloning my DNA. I told him what I really needed was a group of clones right now to help with all this work! Our new motto: At Just Plain Folks, we clone because we care. If I had an army of myselves perhaps I could get more than 4 hours of sleep a night! = )

No that would just mean a whole bunch of your clones would only be gettin 4 hours of sleep a night, as well. Getting rid of the extra chores would only inspire you to expand and take on new challenges and you know it.
But wait … Extra Brians … Extra Hugs and inspiration! Hmmmm :…go for it big guy!

Hello all,
Brian, I don't know how you do it... but maybe cloning would be an option to consider (better than freezing, brr!). 
Just wanted to check in, didn't realize so much was happening on this particular board till Lisa Martin mentioned it this week. I'm glad to be working with Marty Helly, Shandy Lawson, Lisa and anyone else in the Northeast Chapters to get things going for JPF artists here. We're fortunate to have a genuinely supportive community, especially in Northampton and surrounding towns, so I'm optimistic about what can be done in the months ahead.
Hope to get to know each of you better as we work together down the line, and feel free to get in touch for any reason.

I just wanted to say to the rest of you coordinators that when Brian comes to town and you help him set up the showcases, it's the brightest spots of the year. This guy is truly amazing and seemingly tireless.. God only made one of him, so he's spreading himself around.I'm honored to be a small part of this.Maybe some of the people he excited with his presence will actually help out this year once he's gone.......
